How do Batch Payouts work?
Your settled payments are paid out to your bank as one deposit per day. Here's how it works and where to see what's in each payout.
Overview
With batch payouts, Jetpay sends all of your settled payments for the day to your bank account as one deposit, instead of a separate deposit for every transaction.
Your bank statement gets simpler: one line per day instead of dozens. You can still see exactly which payments make up each deposit on the Batch Payouts page in your Jetpay dashboard.
How batch payouts work
- You take payments as usual. Nothing changes for your customers or how you charge them.
- Payments are processed. Each payment shows the status Processing while it settles and waits for the end of your sales day.
- Your sales day closes. By default, the sales day ends at 5:00 PM in your account's local time zone. Payments that settle after the cutoff roll into the next day's batch.
- One payout is sent. Jetpay adds up the day's settled payments and sends the total to your bank account as a single deposit. The batch and its payments show In transit.
- The deposit lands. When the money reaches your bank account, the batch and every payment in it change to Deposited.
All payouts go to the default payout bank account set on your Jetpay account.
How batch payouts appear in your bank account
You'll see one deposit per sales day on your bank statement, covering all of that day's settled payments.
Example: you take 25 payments on Monday and issue 1 refund. Instead of 25 separate deposits, you receive one deposit for Monday's total, minus the refund.
What the deposit is called: the deposit description will read [Baseline Processing]. The exact wording can vary slightly depending on your bank.
When it arrives: the payout is sent after your sales day closes and usually lands in your account within 2 business days. Weekends and bank holidays can add time. You can see the expected date on each payment under Estimated deposit.
Viewing batch payouts in the Jetpay dashboard
The Batch Payouts page lists every payout sent to your bank account, and the payments inside each one.
To view your batch payouts:
- Log in to your Jetpay dashboard.
- Click Payouts in the top menu.
- Choose a date range with the date button on the right: Last 7 days, Last 30 days (the default), Last 90 days or Custom range.
- To see one bank account only, click its tab at the top of the page. All accounts shows payouts to every account. Each tab shows the total paid out for the selected dates.
- To find a specific payout, type its batch ID in Search payouts.
- Click the arrow at the end of a row to open the batch and see its payments.
- Click any payment to open its full details.
What each column means:
| Column | What it shows |
|---|---|
| Batch ID | The unique reference for the payout |
| Sent date | The date the payout was sent to your bank |
| Deposit date | The date the money landed in your account. Shows Pending while the payout is in transit |
| Payments | How many payments are in the batch |
| Bank account | The account the payout went to, shown by its last 4 digits |
| Status | In transit or Deposited |
| Amount | The total paid out in this batch |
Inside a batch: each payment shows its time, the contact who paid, any tags, the amount and its status. The total at the bottom matches the batch amount.
Payment details: clicking a payment opens a panel with its amount and status, the payment date, the Estimated deposit date, and a Tracking history showing when it was processed, sent and deposited. It also shows the payment ID, the statement description, who paid and the account it was deposited to.
Good to know:
- Payouts appear on this page as soon as they're sent, so you can see an in-transit payout before it reaches your bank.
- To match a deposit on your bank statement, look for the batch with the same deposit date and amount.
Payout statuses and failed payouts
| Status | What it means |
|---|---|
| Processing | The payment is settling and waiting for the end of your sales day |
| In transit | The payout has been sent and is on its way to your bank |
| Deposited | The money has landed in your bank account |
| Payout Failed | The payout couldn't be completed after repeated retries |
If a payout doesn't go through, you don't need to do anything right away. Jetpay automatically retries the payout on its next run. If the payout still hasn't succeeded after 3 busines days, it's marked Payout Failed and our Support team will follow up.
The most common reason is a problem with the bank account on file. Make sure your payout bank account details are complete and up to date. If you see Payout Failed, contact Support.
